Property Maintenance Coordinator

The Maintenance Coordinator will provide effective and efficient support to Five Oaks property and equipment with the view of supporting Five Oaks hosted groups, programs and conferences. This staff member will work collaboratively with the Management, Five Oaks Property Team, Program Leaders, staff and volunteers. Being part of a faith tradition is not a prerequisite for this position, but the successful candidate must be willing to work within the context of supporting the Intercultural Interfaith vision of the centre.


  • Maintain and repair all buildings (inside and out).
  • Maintain and repair mechanical equipment, machines and appliances.
  • Ensure Five Oaks vehicles are maintained.
  • Accomplish or coordinate routine plumbing, carpentry, electrical work and painting.
  • Work with the General Manager/Executive Director to obtain the services of skilled trades people to undertake complex repair, construction or renovation work when required. Maintain contact list of firms/individuals to contact for more extensive work.
  • Winter: care of furnaces and boilers, and keep plumbing from freezing. Winter requirements often requires working weekends.
  • Pool: open and repair swimming pool, acid wash before filling, test water and maintain to safe standards. Pool safety requires monitoring 7 days / week. Consult with Executive Director to assign responsibility for pool and washroom cleaning.
  • Develop budgets for clear goals for property development projects and work to budget.
  • Oversee property and building renovations in liaison with the Executive Director.

Safety and Services

  • Take shared responsibility for water testing and reporting. Must hold or be willing to obtain certificate for Operation of Small Drinking Water Systems and Pool and any other necessary requirements to support Five Oaks.
  • Conduct site tours with Fire Department, Health Department, Building Inspectors and Ministry of Labour, ensure regular maintenance of equipment, and consult with Executive Director regarding steps needing to be taken to comply with current legislation.
  • Attend to garbage, recycling and compost bins.


  • Maintain on-line records on status of all equipment and buildings including state of repair and longer-term renewal in collaboration with the Grounds Coordinator.
  • Supervise other maintenance staff.
  • Be ‘on-call’ for property and building emergencies in coordination with the Grounds Coordinator, approximately 2 weeks per month.
  • Work with Executive Director to develop annual maintenance and capital budget. Contribute to the development of long-term facilities and property plans for Five Oaks.
  • Work collegially with volunteers and other staff. Interact courteously with Five Oaks guests.
  • Assist with set up of meeting spaces for groups and events as requested.
  • Attend weekly staff meetings and submit weekly timesheets.
